Job Details :- Key Responsibilities: - Greeting and Welcoming Visitors: Welcome visitors, clients, and employees as they arrive at the office, providing a warm and friendly reception. Direct visitors to the appropriate person or department. - Managing Incoming Calls: Answer and direct incoming phone calls promptly and professionally. Relay messages to appropriate staff members when necessary. - Appointment Scheduling: Schedule and manage appointments, meetings, and conference room bookings for staff and visitors using the organization\'s scheduling system. - Mail and Package Handling: Sort and distribute incoming mail, packages, and deliveries to the appropriate recipients. Prepare outgoing mail and packages for dispatch. - Front Desk Maintenance: Keep the front desk area tidy and presentable at all times. Ensure reception and waiting areas are clean and well-organized. - Administrative Support: Provide administrative assistance to various departments as required. This may include data entry, filing, photocopying, and other general office tasks. - Visitor Log and Security: Maintain a log of visitors and ensure compliance with the organization\'s security protocols. Issue visitor badges as necessary. - Information Dissemination: Provide basic information about the company, its products or services, and general inquiries to visitors and callers. Direct specific or complex inquiries to the appropriate staff member. - Handling Inquiries and Complaints: Respond to inquiries, complaints, and requests in a courteous and professional manner. Escalate issues to the appropriate staff when necessary. - Office Supplies Management: Monitor and replenish office supplies at the front desk and common areas.
